Adjunct Onboarding

General Onboarding Information

SUNet ID Sponsorship

In advance of your appointment start date, the Department of Art & Art History will provide you with full university sponsorship, allowing early access to all of Stanford’s systems (including email and library resources). Your full sponsorship will be effective on the first day of enrollment (see Academic Calendar) and through the day before your appointment start date. System access in advance of the lecturer appointment is provided to facilitate:

  • completing required trainings in advance of your appointment.
  • accessing library resources for course preparation.
  • reviewing class lists and answering student inquiries during enrollment.

If you do not yet have a SUNet ID, the sponsorship notification will invite you to create one. The SUNet ID Sponsorship only covers access to online resources. Your ID card cannot be activated based on a sponsorship. Only an active appointment can activate your ID card. 

Instructor Orientation Information

At the start of each academic year, instructors are given information in-person and/or via email regarding staff roles, policies, procedures and resources that will facilitate teaching in the Department of Art & Art History. Presentation slides from the September 26, 2024 in-person orientation are available below. 

On Thursday, September 25, 2026, from 3:30pm-4:40pm department staff will host an open house in Gunn Foyer (McMurtry Building, 1st floor). All lecturers, visiting faculty and TAs teaching in AY2026 are invited to attend. Light snacks and refreshments will be served.

New Appointments

Please review and complete the onboarding steps listed on the New Hire & Payroll info webpage

In addition, please complete these onboarding steps:

  • To request a profile on the AAH Faculty webpage, please complete the AAH Website Profile Request.
  • If you are benefits-eligible (see appointment letter), please enroll in your benefits as instructed by the notification from Stanford HR. If you have not received any benefits notifications within the first month of your appointment, please notify the Assistant Director of Finance and Operations. 

Reappointments

Please review and update as necessary the "Online Hire Paperwork" as listed on the New Hire & Payroll webpage.

In addition, please complete these onboarding steps:

  • Review your profile on the AAH Faculty webpage and email Faculty Support Specialist, Diana Vasquez at mayayfrau [at] stanford.edu (mayayfrau[at]stanford[dot]edu) to request any changes.
  • On the first day of your appointment, please call the ID Card Office to reactivate your ID badge. This step can be completed over the phone, unless Card Services requires you to present your card in person at their office. Once your card is activated, please email this confirmation to the joe.lewis12 [at] stanford.edu (Facilities Manager, Joe Lewis) to receive full access to the McMurtry Building.
  • If you are benefits-eligible (see appointment letter), please enroll in your benefits as instructed by the notification from Stanford HR. If you have not received any benefits notifications within the first month of your appointment, please notify the Assistant Director of Finance and Operations.
  • If your personal address, email, or phone number has changed since your last appointment, please update this information in StanfordYou > Maintain Your Directory. 

Facilities

Access
  • All Stanford Affiliates & Students have default card access to the McMurtry Building during regular business hours 9am -5pm M-F.
  • Art & Art History Instructors & enrolled students have 24/7 card access to the studios assigned to their classes. This includes Saturday and Sunday. 
  • If your classroom has a punch code lock, you’ll receive a code from Student Services or from the appropriate lab manager.
  • If you’re teaching in seminar room 370 and find it locked when you arrive, contact the joe.lewis12 [at] stanford.edu (Facilities Manager) or send someone to the front office to have it unlocked.
  • Art Gallery south entries, closest to the new Hoover conference center, are locked on card-only access from 8am – 5pm, Mon – Fri, for those teaching in AG7. If you’re teaching in the Prototyping Lab, see the lab manager for access.
General Building Rules
  • Don’t Park behind the building, that is a no parking zone. Access is needed for deliveries and staff activity. Do not block the museum loading dock at any time.
  • No bikes in the building, including classrooms. Bikes should be locked at the racks.
  • Gatherings in the central atrium or roof deck can be disruptive. Please ask before holding an activity in these spaces.
  • Please report any facilities problem to the Facilities Manager, Joe Lewis. Examples: broken classroom door, restroom issue, key card not working.
Earthquake / Emergency / Injuries
  • In an earthquake, stay away from glass and take cover.
  • Calmly evacuate students down the stairs (never the elevator) to the lawn. Stay together.
  • Take attendance and wait for instructions.
  • If you are injured at work, seek first aid or emergency care and then notify the latr [at] stanford.edu (Director of Finance and Operations) ASAP to get workers compensation paperwork. Even a small injury must be reported.
  • If a student is injured, first obtain care, then notify the lab manager, DFO, or Student Services ASAP to report and document the incident.

Adjunct Faculty Resources

Adobe Creative Cloud License

Adjunct Faculty without research funding may request access to a Department-sponsored Adobe Creative Cloud license for the duration of your appointment by completing this webform. This license should be exclusively used to support teaching in the Department of Art & Art History at Stanford University. Adjunct faculty with annual research funding may purchase a discounted Adobe Creative Cloud license through the Stanford Software Licensing Webstore.

STAP Funds

Adjunct Faculty fall under the category "Academic Staff" and are therefore eligible for Stanford STAP funds if they are employed for a 50% FTE or more. To use your STAP funds, please obtain approval from your faculty advisor and follow the reimbursement instructions as outlined on the STAP website. 

Cardinal Print

Stanford employees can scan, print, and copy documents via the Cardinal Print system. For more information on Cardinal Print in Art & Art History, please visit the AAH Office Support webpage

Office Space in McMurtry

The department is not able to offer Individual offices to adjunct lecturers. A shared office space is available for adjuncts to use by request. To request access to the shared office an email should be sent to the front desk at artdepartment [at] stanford.edu (artdepartment[at]stanford[dot]edu) during regular quarters (9am - 4pm). If access is needed during the summer or after hours, please contact a staff member in the main office (Room 107). 

Off-Boarding 

  • Access to @stanford email and other online services ends at 5pm on the last day of your employment. This includes access to those Stanford business systems for which your SUNet ID served as login ID (e.g., Axess, Oracle Financials, PeopleSoft Student Administration). If you need copies of personal email or files, be sure to make them in advance. You cannot forward your Stanford email to a personal email address.
  • Read information from University IT on How to Close Your SUNet ID Account.
  • Steps to take before off-boarding:
    • Please make sure to download any important documents you might need in the future (for example: pay stubs and tax reporting information in Axess, course documents in Canvas, personal emails, etc.).
    • You should change ownership of any Google, and Microsoft 365 documents that others may need access to after your employment ends. Please provide access to staff or your lab manager for any shared Google Drives, especially those in which you have received student work.
    • Make sure your correct address is on file to receive your W-2 for the current tax filing year. All W-2 forms are automatically mailed to the address on file. Alternatively, former employees who no longer have access to Axess may submit a support request to Payroll to request copies of prior years’ W-2 Forms. There is a $10 fee per requested year.
